1 on 1: Feedback Flash Round

Feedback Flash Rounds are designed to streamline the feedback process, making it quick, focused, and routine. This meeting format encourages continuous improvement and transparency between participants, suitable for both manager-team member and peer-level relationships.

For Manager and Team Member: Aids the manager in providing concise, actionable feedback to foster the team member's growth and address areas needing improvement.

For Peer-Level Individuals: Allows colleagues to exchange feedback in a structured way, promoting a culture of openness and mutual development.

Pros:

  • Promotes a regular feedback loop, crucial for ongoing improvement.

  • Helps in quickly addressing issues and reinforcing positive behaviors.

  • Enhances communication skills and trust between participants.

Cons:

  • Risk of feedback being too rushed or superficial if not well-prepared.

  • Potential for negative feelings if feedback is not delivered constructively.

  • Requires a culture of openness and receptivity to feedback, which may need time to develop.

Instructions

Pre-Meeting Preparation:

  • Each participant prepares brief notes on feedback for the other, focusing on specific incidents, behaviors, or outcomes that stood out since the last meeting.

During the Session:

  • Begin by setting a positive, constructive tone to ensure receptivity.

  • Allocate a set amount of time for each participant (e.g., 5 minutes each) to share their feedback.

  • Discuss specific examples to keep the feedback clear and actionable.

  • Use a "sandwich" approach if possible: start with something positive, follow with areas for improvement, and conclude with encouragement or recognition of strengths.

Post-Feedback Discussion:

  • Allow each participant a few minutes to reflect on the feedback received and to ask clarifying questions.

  • Discuss possible actions or changes to address the feedback.

Virtual Alternative:

  • Use video conferencing tools to conduct the session, ensuring both participants can engage fully.

  • Share feedback through a shared document to visualize and track comments and actions.

Tips

For a Manager

  1. Be Specific and Objective: Focus on concrete examples and avoid generalizations to ensure the feedback is useful.

  2. Foster a Two-Way Dialogue: Encourage the team member to respond to feedback and share their perspective.

  3. Highlight Strengths: Always recognize and reinforce what the team member is doing well to balance areas of improvement.

  4. Commit to Support: Offer help or resources to assist the team member in addressing feedback.

  5. Track Progress: Make a note of feedback points and review them in future meetings to assess improvements.

For Participants

  1. Stay Open and Receptive: Approach the session with a mindset geared towards learning and growth.

  2. Ask for Examples: If feedback isn’t clear, ask for specific instances or suggestions on how to improve.

  3. Share Your Own Feedback: Prepare to give your own feedback thoughtfully and constructively.

  4. Reflect on Feedback: Take time after the session to consider how you can apply the feedback to your work.
